Kashflow is a cloud-based accounting, payroll and human resources software designed specifically for small businesses in the UK. As well as all of the basics such as invoicing and recording expenditure, Kashflow has a whole raft of other features that make running a business easier, including reporting and online payment collection. Kashflow supports reminder emails about overdue invoices, plus a PayPal Importer service for the automated accounting of PayPal transactions.

Stay in complete control of books the easy way with KashFlow's online accounting software which ensures VAT is automatically updated & can be submitted directly to HMRC, allows users to pay online and improve cashflow wherever they are, plus share information directly with their accountant for easy management. Kashflow gives a full view of finances, allowing users to see what they are owed, and what is overdue. Use Kashflow accounting software to convert quotes to invoices and automatically send them to customers, complete with logo and branding.

Users can set up multiple payment methods on their own payment terms, plus include a “pay now” button on their invoices to get paid faster. Keep an eye on business performance with reports on profit & loss, stock control and self assessment. Users can link their bank accounts to their accounting software to easily match their actual bank statements to their KashFlow business accounts.

I find Kashflow a mixed bag. In some ways, it's a good system and works well when everything is perfect. If you suddenly need to change something, however, prepare to get frustrated (no doubt you will at some point and good luck not messing your accounts up!).

Charging for their basic tutorials on how to use the software to avoid messing things up will cost you on top of the monthly subscription you're paying. This reason alone, I feel their not customer centric and am personally moving to another system due to this.

Pros

Kashflow can generate some nice reports and it looks fairly appealing.
Straight forward to set up in some ways.
Support is ok, can be a mixed bag.

Cons

A bit un-intuitive, unable to open links in new windows for some things which mean you have to keep re-running a report to work through each item in a list rather than quickly skip forwards and backward (Kashflow also forgets which dates you had selected so you have to re-select both dates every time!).

Unclear in places

Tutorials to learn the software are paid for those who are already subscribed, this is unforgivable. What kind of company charges their subscription paying customers to learn the software they pay for??

Kashflow feels like a strange mix between last gen software (and the frustrations that came with it) along with new gen (clean-ish interface). The whole package doesn't feel polished or finished.

Things like importing bank files will lead to duplicates without warning, Kashflow won't bother to check if any items are dupes. There goes the rest of your month manually removing all the duplicate items! Support will say it can only be done manually, can you tell it happened to me?

Pros

One of the more simple screen layouts for a cloud accounting app.
Easier to use than most competitors.
If UK small business not using FX than a very good bet.

Cons

No foreign currency bank accounts supported.
Poor technical back-up where problem is not straightforward.
Lack of connecting apps compared to competitors.
Compared to Xero and QB Online lack of functionality.

Makes running the back end of my business very easy.

Pros

It's not Sage! I've been using accounting software for 30 years and some of it was a nightmare. Kashflow is straightforward and easy to use.

Cons

No real issues. I've found customer service have sorted out any problems quickly and efficiently.
I can't even complain that it's expensive as it's very good value!

Pros

KashFlow is a really easy to use system for small businesses and handles CIS correctly which is a plus.

Cons

The support provided by Iris & KashFlow is truly abysmal. The support staff always tell you to ask your accountant which is nonsense.

In general it is a very good system for the price, it fulfills the basic operations expected from day to day for the company.

Pros

It is a web base easy to use for all administrative areas of small business, you do not need to be an accountant to perform the processes of billing and collection.

Cons

There are still some sections of the system that have not been updated, but I feel satisfied until this moment.

    Aside from recurring invoices, recurring purchases can be automated, and suppliers are informed through email when payment is made. Quotes can be printed and sent to customers via email or snail mail from within the application, and if the client decides to pursue the transaction, quotes can be converted into invoices with just a click of a button.

    In the KashFlow Quotes tab, categories, which can also be customized to suit your business needs, are set up and managed by clicking on the Add button. Once done, depending on the circumstance, you’re ready to create, send, print, or convert your quotes into sales invoices.

    KashFlow quotes can be created by clicking on Quotes on the left-hand side of the dashboard. Quotes that proceed to transactions can be converted into invoices with just a click.

    Invoicing

    KashFlow’s invoicing capability is as robust as it is versatile. Invoices can be customized and edited, even sent automatically (in the case of recurring invoices), with email push notifications telling you if they’ve already been paid or when they become overdue. You can create as many invoices as your business warrants; there are no hidden charges to worry about. Created as PDFs, invoices can be sent by email or printed from within the app. In case you need them sent to customers via standard snail mail, KashFlow’s ready integration with ViaPost automatically prints out and mails the invoice to the recipient.

    Product/service lists can be pre-entered into the system. Come invoice creation time, items are auto-filled with the price, description, and VAT rate, among other data, preserving users’ finite time, plus the effort needed to check through various spreadsheets, stacks of folders, or software systems to ensure accuracy. Created and managed through the KashFlow dashboard, invoices can include discounts, custom fields such as project name or purchase order number, and a “Pay Online” button that links to a page where customers pay you via PayPal, credit card or other payment channels.

    Automatic Bank Feeds

    Bank accounts can be linked with KashFlow for faster, easier and more accurate financial transaction monitoring and processing. To import and view your banks’ balances directly on the KashFlow dashboard, you need to set up a feature called Automatic Bank Feeds, which lets users connect their KashFlow bank accounts with their online accounts. Previously, for bank transactions to be imported into KashFlow, users manually input transaction data through the bank transactions CSV importer. While this is no doubt a nifty tool to have, for it to properly work, users will need to create or download their banks’ spreadsheets and format the spreadsheets accordingly, an undertaking that may warrant a considerable amount of time, depending on the user’s familiarity with the tool.

    With Automatic Bank Feeds, users no longer need to worry about the intricacies associated with the bank transactions CSV converter. Instead, their bank accounts, whose transactions are viewable on the KashFlow screen, are directly linked to KashFlow via a secure service. Once assigned, transaction details (amount, date, and comment) can be directly imported to your KashFlow account.

    When Automatic Bank Feeds is set up, online transaction details are automatically imported into KashFlow.

    KashFlow comes with built-in integration with various credit card processing services, which enable virtual terminals within KashFlow. Once connected, customer credit or debit card payments can already be accepted, and your accounts are automatically updated with the corresponding payment information. KashFlow’s card processor pool includes GoCardless, Sage Pay, CardSave, Realex Payments, WorldPay, PayPal, Barclaycard, and others.     KashFlow's ready integration with third-party card processing providers enhances its various native capabilities by adding the ability to readily accept debit or credit card payments. The API client allows seamless data sharing between KashFlow and other business solutions.
