Online project management & collaboration
4.3/5 (677 reviews)Pros
Smartsheet helps me do my work more easier and faster. I really appreciate how Smartsheet helps and understand what company needs. Best Application Ever! It's very easy to configure and display what you want to search even if the data storage is so large, it can still be on the right track that you looking for. For my project that have a lot of campaigns, I can easily group all my tasks on what ever priority level, and the corresponding deadline for the task. It's one of the basics that is bigger plus to every business man out there. Moreover, each row may display emails stored within it, files attached to it, with a discussion board connected to the task. I'm always excited and thankful every time it resolves any updates, notifies interested staff, and tracks of document versions, sending alerts for approaching deadlines.
Cons
People out there might say other App is better but I assure you Smartsheet is the best. You just need to gain your skills by the help of Smartsheet, your business will be successful in the future.
Pros
Not as complicated and cumbersome as MS Project, which tries too hard to apply complicated logic to your project plans. Smartsheet simply gives you the ability to create plans of any level of complexity. Conditional formatting allows easy review of start/finish dates and who is assigned what.
Collaboration is easy and effective as you can share with different levels of permission, and export only those elements you want others to see and work with. Having the product in the cloud makes access simple and reliable. Only once in 3 years have I not been able to access my project plan immediately, and even then it was up within 5 minutes.
Easy to learn and train others on, so you can bring collaborators in quickly. Easy to edit as it uses all the intuitive elements of cut/paste and drag/drop.
Vendor has been helpful when needed, but mostly in the background which is what I want. I just need functioning software and a place to go for help, not endless tips and promotions.
Cons
Creating a backup is a challenge. It's not intuitive and involves way too many menus and steps. There should be a simple way to create a backup offline for audit or versioning purposes.
There needs to be an auto-save feature. I've had new collaborators lose their work because they forgot to manually save. For a product that operates with the ease of Google Docs in the cloud, the expectation is that there is an auto save feature. The 10-minute reminder message is not sufficient.
Pros
Smartsheet is fantastic if you are a project manager or anyone that tracks things collaboratively.
I use it daily to keep track of projects. It is like google sheets but has much more functionality with a unique blend of project management flavors. It is easy and intuitive once you get the hang of it, and doubly so if you are accustomed to using google sheets. Even if your teammates don't have licenses, you can invite them to look at and collaborate with your project, add comments, attachments, and even alerts.
As an applicant tracker, I use it to keep track of new hires. We attach their new hire paperwork to the smartsheet (instead of emailing sensitive documents) and other HR members can go in and look and progress, check off when they do their part (benefits orientation, enter into payroll etc) so i can keep track of where the employee is in the process.
Cons
There is a bit of a learning curve. When you first use it, you think that there isn't much difference to google sheets, but once you go through the training, see examples and use it for awhile, it is hard to go back to google sheets because it just doesn't have the functionality you need.
Some of the formula functionality of say, excel is missing, but they are making improvements to the platform all the time.
Smartsheet allowed me to personally increase the project management aspect of my role. It also allowed me to quickly and efficiently manage and update campaigns, content calendars and other key pieces of our marketing organization to keep projects moving forward.
Pros
Smartsheet is my all time favorite marketing software! Not only can you include and integrate project management, sales and other departmental functions but for marketing alone Smartsheet allows you to easily manage campaigns, events, content calendars, website and allows for initiative tracking (i.e. - results). Within each of these functions, you can assign users who are in charge of projects, enhance the internal communications by parties seeing where one is in the process and collaborate amongst many different departments. It truly allows for multiple business functions to be able to come together in one place for a strong marketing, sales and project management platform.
Cons
Smartsheet can operate very slowly when there is a large amount of data in a certain sheet. It decreases the strong user experience and also can make the process more cumbersome at times. The sheets can also be deleted with one click of a button and never be recovered again so you have to be mindful of your actions on the sheet and know all users who are using the platforms have been properly onboarded.
One of my team members was able to create a content calendar for a broad editorial group within the platform and it worked great and had excellent adoption from a cross-functional team. Vet it carefully for your particular needs before making an investment -- SS has a lot to offer for the right projects.
Pros
SmartSheet provides a lot of great features: easy-to-use "card view", quick Gantt charts and easy entry of tasks. I really like the simplicity of the tool as it feels very much like Excel at first blush. The two levels of access -- one for power users and one for light editors -- helps keep the tool in a very affordable price range. I absolutely love the ability to create a web intake form within minutes that can be published live for use without a login to the system. The form is highly configurable and is a great way to grab structured feedback or details from individuals.
Cons
SmartSheet is not a fantastic project management tool for software development. While the web-based intake form is decent for reporting bugs and it is a relatively simplistic tool, tracking items from beginning to end and creating validation loops should be easy but is not. Granted, we were using the tool for something it wasn't technically designed for, but much of the functionality is available within the platform for "light" development teams. Unfortunately, the implementation of specific task-driven items simply wasn't where it needed to be.
Pros
Where do I start? I used to rely on MS Project to manage my projects, but I hated it. MS Project is designed as a one-size-fits all program for all projects. The only problem is it is a poor design to solve that problem. MS Project is way too complex and difficult to use. It is feature rich, sure, but you need to read a manual to learn how to leverage all of the features. Smartsheet solves all those problems, for me anyway. It is simple to use. If you know how to use Excel, you can learn Smartsheet's and become fluent in navigating its interface and product in 1 week of regular use. I rely on Smartsheet everyday to help me manage complex projects, budgets, and timelines. I do not know what I would do without having access to the tool anymore. It is my #1 needed tool on the job period.
Cons
The only thing I dislike about the tool is that it is associated with hard work! That being said it solves many of my challenges, and is a fantastic product that enables me to manage complex projects with ease. There is nothing that I truly dislike about SS.
I have been using Smartsheet for over three years and absolutely love it.
As a project manager, it is difficult to run a project through Microsoft Project and still have the entire team able to see and/or update the plan. Smartsheet allows full control over who can see, who can edit and who can share the project plan. It allows team members to make status updates and pull reports.
It is MSProject functionality with MSExcel ease of use. And being cloud based, it is device independent and your team members do not have to own a copy of the software to see the plans.
In the past, I would need to create my project plan in MS Project, but export to Excel or PDF in order to share with team members who did not have an MS Project license. That was very time consuming and usually required some re-formatting.
Smartsheet solves those problems and allows more efficient collaboration. I pay for it out of my pocket I like it so much
Pros
Device independence and cloud storage allow for full-team collaboration without purchasing extra copies of an application.
Cons
I would like it even better if a file were able to have several sheets, like in Excel
Smartsheet has solved most of the business challenges, where by just giving it the required inputs, all things get done. It is an advanced tool, that considers the current diversity of the businesses. I like the customer's support team, which are very responsive.
Pros
What I like most about Smartsheet is how it turns complex tasks, which requires adequate time and efforts into an easy role. I mean, with feeling some data (transactions), by just a clik of a button, all the things get done. Again, it is a cloud based platform, which means, with the use of the Internet, one can have its access. The process of implementation is easy and takes less time. It has numerous features, that makes its great.
Cons
My problem with is the issue of creating backups. This platform lacks automated backup feature, which can make work easier, and in the case of Internet disconnection, the work of the user remains. Again, the vendor should link this feature of backup with auto saving of files. The two aspect can guarantee the security of the users' information and data.
My company uses Smartsheet for project tracking of multi-year projects across several continents, time zones, and team functionalities. I've been using the product for about nine months, and even while I feel like I understand it well and am reaching the productivity I seek, I still keep learning more features that it has to offer. So far it has been really great for us, as it allows so many options for you, but does not require that you have to wade through them all just to get a simple task done. So many platforms offer crazy amounts of features and KPIs, of which 80% go unused, but in order to do what you want you have to go through menu after menu after menu (cough SAP cough).
The simple Excel-style interface is what really makes the difference for our teams. They see something that looks familiar, and they feel more comfortable with it. It's easy for them to enter data (just like Excel), and the learning curve is gentle. Most of my teams got up and running in about a week, and that's really something!
It's quickly becoming the go-to tool for so many of the old things we used to manage through Excel and Outlook. The best part is that the features are not "in the way" of your working. If you need task management, project management, log books, alerts, etc. this tool can do it. And, because it's so easy to share and publish, teams can work with others quickly, easily, and with a nice record of who did what. That's one of my favorite features about it. Each cell has a history that you can view, so you can see all the changes, who made them, and at what time. It's a really powerful feature.
And, to cap it off, the support team is really great. They're putting out developments all the time, and actively seek feedback from their community for said developments.
I would recommend to anyone who wants to have an all in one work collaboration platform that's easy for their team to use, unless you want each team member to spend 9 months studying the platform before they can do even the most basic functions.
Almost forgot the price. This software costs a fraction of what other software costs. We have close to 260 people using the platform, editing and viewing the sheets. Yet, we pay less for the YEARLY Smartsheet Team Plan than we pay to another software company so that one single user can have access for 6 months, and many of the features between the two are duplicated.
I just like the software for all the good that it has done to help more things more fluidly around in the company. Yes, you can most likely find other software that can do the same but come on this is actually the easier of all and the price point also helps too.
Pros
What I like about Smartsheet is the fact that you are not bombarded with so many complex and complicated ways to get things done. This software takes that all away and thus lets you start actually getting your ideas down quickly without the need of wasting time learning something difficult. This allows you to collaborate with other users quickly and easily. If you have a large file and don't want to show off everything that you have you can quickly export those elements and with different types of level permission. Since this software is not entirely saved on your computer you can move around with ease since this is Cloud based.
Cons
I do like Smartsheet, but there can be improvements made to this to make if better and faster. Like creating a backup can be made easier and thus it is not. It can be daunting at times trying to get this backed up. This is Cloud based and it should already have an auto backup feature or at least and easier way. The same goes for saving too. Auto-save should be an easy fix, right? Well I hope that this will be taken care of.
Generally, Smartsheet performs its obligations to almost 98%. The rest two percent, this people are constantly working for it. It is an online latform, which makes the work of proect management easier and fun. I love Smartsheet. I could recommend all the project managers among the business planners consider it.
Pros
There before, managing projects was the most complex and tiresome thing. Some of us tried to use excel sheet, and still, it did not work for us. However, Smartsheet came to save us from all the struggles. This is the most easy, and functional software that I have ever seen. One, it is user friendly, two, with the Internet connection, you can access it anywhere, anytime. Three, it is easy to implement and execute.
Cons
The only complication I idnetified concerning Smartsheet is by creating backups. This entails so many steps and actions, which needs users skills and competencies. I suggest that the developer think about other simple means of creating a backup even when online.
Good stuff, if not better than I think it is. I like that I can give anything to anyone and control how much input they can have with it.
Pros
I do enjoy that I can share files out with anyone. I like that they can edit and I can see them immediately. The workspace is clean and it is far more powerful than I need it for. I'm sure I could get tricky with it and make it do flips and jumps, but I have heretofore not needed to make it do that.
Cons
I'll be honest in that this is nitpicking. The scroll-wheel on my mouse doesn't like the scroll down a smartsheet. It is by far and away the worst thing about this program I've found. It's so infuriating when I have a few hundred rows and I can't accurately scroll to a needed place. The side bar works well, but everything in the world allows a scroll now.
Please laugh at this and then do it... you'll understand what I'm saying.
Aside from that, this is less of a Con than maybe a pro but I feel like there's a bit of overkill under the hood here. I could easily be wrong in my limited scope so I hate to even list this as a Con, except that you're paying for it. I feel like if you use the full breadth, you win but it's just not super-needed or warranted if you're expecting a bunch of collaboration with people who don't want to be bothered.
Pros
Smartsheet would not deny they are little more than a glorified spread sheet, but what they lack in sophistication they make up for in flexibility. There is a good reason so many office workers end up building ad-hoc tracking and analysis tools in Excel. It is simple enough and flexible enough you can throw something together quickly for a wide variety of needs. Smartsheet takes this to the next level allowing users to quickly build lists and data driven sheets, link them together in interesting ways, and then gives them simple tools to share and collaborate with others. The additional of a Gantt chart and Kanban board view of item lists allows teams to quickly develop a simple set of tools to manage projects and collaborate. For many small teams, this may be all they need.
Cons
While the TCO is compelling for smaller teams, larger teams will likely be underwhelmed with the fairly shallow set of features. Also, from a cost perspective larger teams will not find much of a price difference between this and more robust offering from other competitors.
Pros
I love that SmartSheet allows for multiple tabs to organize data. You can also choose who has access to certain tabs. I also find the feature of attaching documents, images and notes EXTREMELY useful in the work that I do. We compile lots of information/documents on person's files that we work with, and we can include all of the information in 1 place, and anyone can add notes and information to the person's file. This is extremely useful for documentation among many people who are interacting with a customer we have. It is also easy to access and use from the iPhone app, which allows me to be more efficient as I am often on-the-go with clients and do not have my computer out.
Cons
For the business that I do, I can't think of a better priced program or more user-friendly program. It serves all of our needs, and is very user-friendly and safe for storing confidential information...no cons that I can think of except sometimes when you change tabs, it will not save information you put into the tab you switched from.
Pros
It's great software, kind of like a cross between Excel and an online project management platform. If you've worked with spreadsheet software in the past, it will feel intuitive. It has a ton of features that are excellent for project management and team work. Some of my favorite features are update requests (you can send an update request to anyone in your organization and it will ask them to update you on their progress in the context of your sheet or a cell within your sheet), as well as scheduling helpers and functions like SUM, AVERAGE, etc. I use it for keeping track of my scientific data AND managing my projects. Really great tool!
Cons
This is both a pro and a con -- the software development team is very on top of stuff, and they seem to make a lot of changes and updates. Fundamentally this is a good thing, but it's sometimes annoying to have to figure out a new UI all the time. There also isn't support for as many functions as Excel. For example, there's no standard deviation function.
This program can do anything... the set up is the most difficult part which is typical for any new program. Take the time to set it up correctly and enjoy the benefits later!
Pros
This program is so easy to use... it is basically a live excel sheet. I love it because multiple people can work on the page at a time. It tracks all of the changes and have I said that it is EASY TO USE! No training necessary. There is also a mobile app that could use some updating but is usable! The collaboration that you can do with this program is amazing for someone in my field, construction. It brings together the office and the field seamlessly and makes tracking progress on anything a breeze! I love smartsheet!
Cons
The only con I can think of is it is a bit of an expense when you have a ton of employees... but I think the Pros outweigh the cons on this one! You will not be disappointed with Smartsheet!
A cloud based storage program with a spreadsheet format. Ability to share with members of your team and collaborate is spectacular if that fits your need. You can set alerts to notify you when someone else on your team makes a change to a task, and you can quickly move large groups of data or files from one sheet to another by simply selecting them and clicking 'move rows to another sheet.' This will move the row AND all attachments in one quick step.
Pros
Unlimited file storage in this cloud based system. You can basically create a spreadsheet that has limitless functionality. Upload files, photos, data, and keep a communication log. You can even use this program as a CRM if you want.
Cons
The app is a little tough to use for some of its features. when trying to open a row and see attachments, files, and sub-rows, it is often difficult to click on the right spot due to how small some of the icons are on the screen.
Our team adopted this almost 2 years ago and are still using it extensively. Not everyone in the organization likes the tools and some refuse to get on it, but those of us who use it have found it a valuable tool for collaboration within our team and also between several departments.
Pros
Ease of use - very similar to Excel in functionality while operating as a database. Collaboration - easy to use simultaneously as other team members, track changes, and maintain up to date info. Data links to Excel make complicated spreadsheets/dashboards link to collaborative site easier.
Cons
Clunky in its reporting - not a lot of flexibility to play with the data without completely redesigning the report. There are no graph functions for dashboards yet. Editing sheets that are linked to other sheets sometimes causes errors in links or reports because of small changes in headers, or similar.
We used this on and off for a while, planning with it but not tracking progress with it, it felt like we put effort in without adequate reward. Then we worked it out and it's now running everything, inventory management, task management, project planning. It's got all the flexibility of a spreadsheet without the downsides - no need for formulas if you don't want them, user management built in, resource management across sheets, attachments to rows, pictures in cells, dependencies and much more.
Pros
Works like a spreadsheet so users get it quickly.
Gantt, calendar , grid and cards all supported with the same data.
Resource management lets us plan well.
Works well with Gmail and google drive.
Cons
No repeating tasks...an odd thing to be missing.
No card view on mobile (yet).
It takes a bit of time to get things set up and not everything makes immediate sense.
Overall, this is my favorite tool for managing projects, lists, tasks, etc. Hands down. So easy to set up and customize and share. Much more intuitive than other programs that require a bigger learning curve. I know that I'm barely scratching the surface regarding the built-in tools and functionality available. Plus, Smartsheet hold regular webinars on various topics which are very helpful, as is their access to various methods of support.
Pros
I'm a spreadsheet guy, so this method of organizing work and projects in a spreadsheet type style is great for me. Plus, Smartsheet doesn't limit you to that view, providing a bunch of ways to work with and review the data making it pretty likely there's already a style that works with your method. So easy to rank items, move them around, and customize fields.
Cons
It can be expensive. I'm using it because one of our partners uses it and shares some sheets with me. I love it but haven't managed to convince my company to invest in it yet.
I have been using Smartsheets for a couple of years. We have been able to embed price sheets for online website that are dynamically updated; use sheets to collect RSVP for events and have the totals linked to a sheet that totals and sends alerts to several people for follow up. The feature of linking to Outlook makes it so easy to add a task to a sheet without ever having to leave Outlook. New features are released often and keep improving the product. I would highly recommend Smartsheet.
Pros
The integration with Outlook so I can upload a task received in an email so information is all in one place and I can set alerts so I don't miss a deadline.
Cons
Sometimes some of the features are difficult to understand.
Collaborative tool to keep everyone on track.
Pros
Its ease of use. You can use it for complicated projects or a simple to do task list. Our team loves it for staying accountable. The ability to export in excel and do simple math functions is a bonus and keeps our team working very collaboratively. We have used a lot of project software and this one by far is the best for ease of use.
Cons
Reporting can be a bit tricky and a little bit of an issue if you are trying to roll up to a single report. Although it does have reporting and they have just upgraded that feature. I am anxious to see how that works now. They are always improving their software which is also a plus as far as we are concerned.
Pros
Automatic alerts and updates that can be created by any number of factors, a great time saver for notifications and communication. Each cell also has a history so information isn't ever lost.
Cons
Resource views don't accurately measure workload. Turnaround time for a deliverable should be separate from the actual time it takes an employee to complete a task to enable both an accurate timetable for a client and help management with proper resource allocation. Currently, if a task is designated with a duration of a few days for turn around time, the assigned employee is also designated as fully resourced for that time frame. Users looking to use this tool for both aspect may be disappointed.
Shared team organization for project lists, etc.
Pros
Smartsheet has some extra "data" that you can add to your lists -- like NOTES. The notes list who entered them -- which is very helpful on multi-user lists. Being able to add attachments and "rank" line items is also a huge benefit. Our team has also found that each of us prefers to look at the documents in a different order -- which SmartSheet accommodates. It only takes a few clicks to get the list re-ordered how you want to see it.
Cons
lines are assigned to an individual person, it would be helpful to be able to add multiple people to the same task line. Unless you create a "combined" user, there doesn't appear to be a way to have more than 1 person assigned,
I think the ability to re-order the list when I want is a huge help, since the other members of my team typically prefer a different sort order. The only caveat is that I found how to re-order and organize/view the data was not quite as straightforward as I would have thought -- but it is more than doable!
Pros
The top feature of Smartsheet for my job is the ability to have multiple users in the same spreadsheet making changes. Before using smartsheet we always had to remind other users to exit out of the spreadsheet so that someone else could go in and add lines. Being able to make changes to the spreadsheet when someone else is in it is a huge plus for our work. I also like the ease of use. We got the software for that one spreadsheet but I now use it for all my spreadsheets.
Cons
It would be nice to have all the functions of excel in regard to formulas but I get by with what they have and can 99% of the time found a way to make the software do what I need.
Smartsheet is portable tool - downloadable Smartsheet App. I can access it anywhere and any device I like, most especially when I'm in a call and I need to access my Smartsheet I just use my phone. The best way to put your records either old records or new is to use the Smartsheet, it will keeps tracks and give you relevant results that make your business successful. I can say Smartsheet is my partner in life he give me what I want like to plan, capture, track, automate, and report on work at scale, it's very helpful for our team to analyse and realize things that needs for improvement in terms of work.
